Storing Data and Files at Rice

Your Rice files and data can be stored in the space allocated to, or associated with, your Rice NetID in multiple locations inside Rice and in the cloud.

Postdoctoral employees are hired as staff. Complimentary staff, visitors, and external collaborators require sponsorship by Rice faculty or staff; selected storage solutions may be shared between the sponsor and the guest.

Box

Rice Box is a cloud-based file storage and file sharing application for faculty, staff, and students. Rice Box is approved for FERPA, HIPAA, CUI and TMPA data.

All data, regardless of format, made and/or received by university employees must be managed and retained in accordance to approved records schedules by following university guidelines and compliance requirements, including in accordance with retention responsibilities and requirements of your department.

Google Drive

Google Drive is a cloud-based file storage and file sharing application for faculty, staff, and students.

Google Team Drives allow for collaborative sharing, and follow the same data and storage restrictions as individual Google Drives. This storage resource can be configured for confidential and sensitive data.
Contractually, the G-Suite for education service allows the use of the service for storing and transmitting FERPA or Personally Identifiable Data (PII). All FERPA protection rules still apply. Rice G-Suite is approved for FERPA, HIPAA, CUI and TMPA data and requires additional settings and configuration for compliance.

Microsoft OneDrive (Office 365 Education)

Microsoft OneDrive is a cloud-based file storage and file sharing application for faculty, staff, and students. One Drive is approved for FERPA, HIPAA, CUI and TMPA data and requires additional settings and configuration for compliance.
